Emails from a new address, cancellation notices for members, card alerts for you.
This release is mostly about the messages Roll Pay sends on your behalf: emails now come from a new delivery service, members get a note when a membership is cancelled, and you get a note when a card on file is added or changed. Affiliated groups also get a shared photo gallery and a few new settings.
Emails now arrive from new Roll Pay addresses
We moved all Roll Pay email to a new delivery service to improve reliability. Messages to you and your members now come from these addresses:
| Kind of message | Sent from |
|---|---|
| Receipts, reminders, general notices | noreply@rollpay.co |
| Support replies | support@rollpay.co |
| Waivers | waiver@rollpay.co |
| Billing | billing@rollpay.co |
Replies still go to your gym's own email address, as before. Text messages are unchanged.
Members get an email when a membership is cancelled
When you set a member's membership to Inactive, they now receive a "Membership Canceled" email from your gym. It names the plan and the date and time of the cancellation in your gym's time zone. Before this release, no message was sent.
The wording is a standard Roll Pay template, the same for every gym. If you would like it changed for yours, ask your account contact.
You are notified when a card on file is added or changed
When a card is added to a member's or family's account, or an existing card is updated, your gym now receives an email and a text. It names the family, the card brand and the last four digits, with a link to the member's page.
Editing a saved card is also smoother:
- You no longer have to re-type the card number to change a name, expiry or ZIP.
- The expiry shows as MM/YY, matching what you type.
- Expiry changes save correctly on the first try. Previously the payment processor sometimes rejected them.
The Check-Ins QR code is back
The Check-Ins QR code has returned to your gym details page, next to the Registration code. Print it or copy its link for the front desk.
On the check-in screen itself, the location picker now only appears for gyms that belong to a group with multiple check-in locations turned on. Single-location gyms see one less step.
For affiliated groups
If your gym is part of an affiliation (a group of gyms under one brand), the group admin now has:
- A shared Gallery. Photos and logos for the whole group live in one place. It loads a page at a time and has a search box, so large libraries stay quick.
- A phone number and a "Multi check-ins" switch on the group's details. The switch controls whether the location picker appears on the check-in screen.
- A tidier menu. Notifications moved up the list, and "Memberships" is now called "Affiliate Fees", which is what it always showed.
- Test messages go to the right place. The "send me a test" button on group notifications now uses the group's own email and phone.
Smaller improvements
- Press the / key on the gym list or gallery to jump straight to the search box.
- In the gallery, deleting one photo no longer clears the others you had selected, and the confirmation says exactly how many will be removed.
- Page controls ("1 of 4", next, previous) look and sit the same on every screen.
- Some date fields that need older or further-out years now offer a wider range.
- Buttons and menu items give clearer feedback when pressed.
What you may need to do
- Add
noreply@rollpay.co,waiver@rollpay.coandbilling@rollpay.coto your email contacts, and ask front-desk staff to check their spam folder once this week. A new sending service can land in spam the first few times. - Know that the "Membership Canceled" and "Card added" messages are on for every gym and use standard Roll Pay wording. If you want different wording or want one switched off, ask your account contact.
- If you had removed the Check-Ins QR code from your front desk, print the new one from your gym details page.
Nothing else changes how you use Roll Pay day to day.
